Experienced Warranty Coordinator at WLMG Ruislip Service Centre
About the Role
Due to the continued growth of WLMG and the latest addition of our new MG Retailership in Upminster, Essex, an exciting opportunity has arisen for a highly organised, committed Warranty Coordinator to join our expanding team.
Reporting directly to the Aftersales Director, you will collaborate closely with our Aftersales team, customers, and workshop staff across all franchise locations. You will play a pivotal role in ensuring our warranty claims are accurately administered, parts processes run smoothly, and revenue potential is maximised.
It will be your responsibility to coordinate and manage all warranty submissions, including credits, claims, rejections, and goodwill gestures and ensuring strict process compliance at all times. Working alongside Service advisors, Parts staff, and Technicians, you will provide ongoing support, guidance on warranty repairs, and process improvements to maintain full audit compliance.
Key Responsibilities
Warranty & Operations
- Complete and process all warranty claims via various manufacturer platforms and our internal DMS.
- Ensure all submitted claims comply fully with manufacturer manuals, published repair methods, and time schedules.
- Prepare accurate invoices for warranty work, carry out goodwill invoicing, and issue standard repair operation times to technicians.
- Stay up-to-date with manufacturer recalls, technical bulletins, and repair methods, sharing critical updates with relevant staff.
- Implement and manage an effective storage, monitoring, and return system for warranty-displaced parts.
- Drive workshop warranty efficiency and maintain audit compliance across all franchise representations.
Financial & Administrative Control
- Reconcile warranty records and monitor debtor accounts to ensure all claims are legitimate and debts remain within acceptable time limits.
- Maximize manufacturer warranty submission times without exception.
- Monitor warranty parts ordering, surcharges, and returns in accordance with manufacturer guidelines.
- Track parts ordered for workshop jobs, ensuring unbooked parts are returned for credit within 21 days.
- Share best practices across the Aftersales team to continuously optimize departmental workflows.
Requirements & Skills

- Strong organizational skills with high attention to detail.
- In-depth knowledge of motor trade procedures and company policies.

Working Hours & Salary
- Hours: Full-time (Monday to Friday, with occasional Saturday for administerial work as and when required).
- Location: On-site at WLMG Ruislip.
- Salary: Competitive basic salary (Dependent on Experience) + Performance-based Bonus.
